How do I get started with Chronotek Pro?

Is it easy to get my account set up?
It's very easy. After we've discussed your business structure we'll set up your account and send login details and steps to get you started. Then download the app, add a few employees and a couple of jobs, and you can begin clocking in right away.
What should I expect during the 14-day trial?
You can use your account for free for 14 days, with full access to the system.
Can I cancel at any time?
Yes, Chronotek Pro is a month-to-month service and can be canceled at any time. Just give us a call to process your request.
Employees & HR
Is the app easy for employees to use?
Our app is very easy for employees to use to clock in and out of their jobs, view their timecards and schedules, as well as send/receive messages to and from their team supervisors.
How do employees log into the app?
Our system uses each person's 10-digit cell phone number as their unique ID. Once your employee downloads the Pro app, they will enter their cell phone number to receive a code by text. No passwords to remember - it's that easy.
What if some of my employees don’t have a smartphone?
Chronotek offers a solution for this. Contact our Support Team to discuss different options for clocking in/out.
Can Supervisors use the app to manage their people from the field?
Yes, supervisors are able to easily manage their job from the field. They can hire employees, message their team members, and view employee hours and schedules. They can handle even more responsibilities if given access to the website.
I need to track documents and certifications for my employees. Can the system help me?
With Chronotek Pro you can organize and store your personnel documents, as well as track documents and certifications required for specific jobs. Pro also reminds you of important dates, such as expiration dates for driver's licenses, permits and certifications.
GPS Tracking & TimeTiles™
How can I ensure my employees are at the jobsite when clocking in?
Chronotek Pro requires employees to enable location services on their phone when clocking in using our GPS feature. In addition to this, we notify your supervisors if employees leave the jobsite while still clocked in.
We also offer our exclusive technology, TimeTiles™, which can be installed directly at the jobsite and does not require GPS, and will ensure your employees are exactly where they need to be when clocking in. Read more about TimeTiles™ below.
My employees worry that their location is being tracked all the time. Is this true?
Our app only tracks employees' locations while they are on the clock. The setting "always allow" is required when downloading the app, as it enables us to report when an employee leaves the jobsite geofence. But this setting does NOT give us access to track them while off the clock.
What are TimeTiles™?
TimeTiles™ are tamper and weatherproof 2-inch square PVC tiles that can be location-coded to any jobsite. Employees clock in/out by scanning the TimeTile™ with the Pro app, like tapping your credit card when paying for groceries. TimeTiles™ do not require a power source or internet connectivity, and employees must be within centimeters to clock in.
What is so special about TimeTiles™, and how do I get them?
TimeTiles™ use NFC technology and are entirely different from QR codes, which can be copied or hacked. Tiles can be purchased once you create a Chronotek Pro account.
Schedules
Are schedules required for people to clock in?
No, schedules are not required for employees to clock into a job. However, there are many benefits to using schedules in the Chronotek Pro system. Schedules guide employees through their workday, give supervisors alerts for late arrivals and no-shows, and help admins and owners determine if they are making money on each job. Chronotek Pro can do what no other system can by predicting things like overtime and travel time, so you are able to prevent them before they happen.
What if I don't have a set time for people to work at a job?
That is not a problem, as schedules can be built to be clocked into at any time of the day. These "open" schedules are clearly indicated on the app, so employees know the boundaries for the work.
What if some jobs need more flexible schedules?
Chronotek allows you to create flexible "anytime" schedules, allowing employees to clock in anytime within the day. The exact in/out times are flexible, but you can enter durations for profit forecasting.
Travel & Mileage
I learned that I am required to pay for travel time for people who work at multiple sites in a day. Can the system track this?
Chronotek Pro's travel time setting is integrated with Google Maps to automatically create a travel timecard when your employee clocks out of one job and into the next. It reports the actual time it took for the employee to travel between locations, and also shows what Google has estimated the time should be. Set the default to automatically approve the Google estimate and only be notified if this threshold is exceeded. Your business stays compliant, and employees don't have to do a thing.
Does the system report mileage as well?
Yes, mileage can be set along with automatic travel time, and can be adjusted if needed. It is then reported with time.
I don't need travel time to be captured for all employees, only a few.
Not a problem. You can turn auto travel on for specific people, and leave it off for others.
Communication
How does the app help me to communicate with people in the field?
With Chronotek Pro you have the ability to post company-wide announcements, send private messages to individual employees, and deliver messages to specific Teams assigned to particular jobs. We also give you the ability to receive push notifications or text messages for critical events.
I have employees who speak Spanish. How can they read my messages if I send them in English?
The Chronotek Pro system has a built-in translator that ensures messages are received in each person's preferred language, with over 30 languages to choose from.
How can I guarantee that employees will read the messages?
With our system you can send "announcements", which employees read before clocking in or out, or "messages", which they can read at their leisure. You can also deliver the messages immediately or at their next clock-in. You're in charge.
Reports & Payroll
I pay people different rates if they work at specific sites or on special projects. Can your system handle this?
Yes! You can store different pay rates in an employee's profile based on the work they do. It's that simple.
I have employees and contractors who work for me. Can I override overtime calculation for the contractors?
Yes. You will assign each person a pay profile as an employee or contractor. The Chronotek system does not calculate overtime for contractors.
My state requires different overtime rules outside of the normal 40 hours in a work week. Can I set additional rules?
Yes. The number of overtime hours that determine 1.5x and 2.0x can be adjusted at the master level. Overtime can also be turned off if it is not needed.
I use a payroll service; do you offer exports for different companies? Is there a cost?
You can access many payroll service exports in Chronotek Pro at no extra charge.
