Privacy Policy
Last updated: January 1, 2025
Chronotek ("we," "our," or "us") is committed to protecting the privacy of our customers and their employees. This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding that information.
1. Information We Collect
Account and Business Information
When you register for Chronotek Pro, we collect your name, company name, email address, phone number, and billing information to establish and manage your account.
Employee Data
As part of the workforce management service, your account may contain employee names, contact details, employment records, work schedules, and time and attendance data. This data is provided by you and is processed on your behalf.
GPS and Location Data
When employees use the Chronotek Pro mobile app to clock in or out, the app captures a GPS coordinate at that moment. Location data is collected only at these discrete events — not continuously in the background. The latitude and longitude are stored and associated with the time record.
Usage and Log Data
We automatically collect information about how you interact with the Service, including IP addresses, browser type, pages visited, features used, and error logs. This data helps us maintain and improve the Service.
Cookies and Tracking Technologies
We use cookies and similar technologies to maintain user sessions, remember preferences, and analyze usage patterns. You can control cookie settings through your browser, though disabling cookies may affect Service functionality.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Process transactions and send related billing communications.
- Send administrative notices, product updates, and support messages.
- Respond to comments, questions, and support requests.
- Monitor and analyze usage trends to improve the Service.
- Detect, prevent, and address technical issues or fraud.
- Comply with legal obligations and enforce our Terms of Service.
3. Data Sharing and Disclosure
We do not sell, rent, or trade personal information. We may share data only in the following circumstances:
- Service Providers: We work with trusted third-party vendors (cloud hosting, payment processors, analytics) who process data on our behalf under strict confidentiality agreements.
- Legal Requirements: We may disclose information when required by law, court order, or government authority.
- Business Transfers: If Chronotek is acquired or merged, data may be transferred as part of that transaction, subject to the same privacy protections.
- With Your Consent: We may share information in other ways with your explicit consent.
4. Data Security
We implement industry-standard technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (TLS), encrypted storage, access controls, and regular security reviews. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Data Retention
We retain account and employee data for as long as your subscription is active and for up to 90 days after termination to allow for data export. After that period, data is deleted or anonymized. You may request earlier deletion by contacting us.
6. Employee Privacy and Employer Responsibilities
If you use Chronotek Pro as an employer, you are the data controller for your employees' personal data. You are responsible for obtaining required employee consents, providing appropriate privacy notices to employees, and ensuring your use of the Service complies with applicable employment and privacy laws in your jurisdiction, including California privacy laws where applicable.
7. California Privacy Rights
California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information (we do not sell personal information). To exercise these rights, please contact us.
8. Children's Privacy
The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
